Selection & Class Placement Process

  • A lottery system will be used if there is more demand for a class than there is space available.
  • An acceptance letter will be emailed to you (or sent home with your child if no email address is given) approximately one week after the regular registration period ends and only if your child has been accepted to a program.
  • If a program goes to a lottery and your child does not secure a spot in a class, we will email you a waitlist letter notifying you that your child is on the waitlist for that program in case a spot opens up.
  • Every effort will be made to place students in their preferred class, but please be aware that we cannot always accommodate every request. We work hard to provide every child with a placement in at least one program.
  • Special Consideration: Students who were placed on a waitlist for a class last session will have priority placement for that particular class. *A registration form for each student is still required.*

Class Withdrawals, Refunds and Late Registrations

  • During the registration period you may withdraw your registration request for any reason. To request a withdrawal and/or a refund (if applicable), you must contact Baroody Camps at [email protected]After the registration period has closed, Baroody Camps cannot guarantee a full refund for any class(es).  If your child does not enjoy their program for any reason, a request to cancel may be made to [email protected] NO LATER than 48 hours after the second class date.  No refunds or credits will be issued after this deadline.  Some programs may require a return of equipment or supplies before a refund can be processed.
  • All refunds will be reviewed on a case-by-case basis & must be discussed with Baroody Camps directly. The ASFS PTA is NOT responsible for issuing credits/cancellations for any of the classes.
  • Late registrations may be permitted at the discretion of the vendor and school. There will be no late registrations after the second class of any program. Late registrations will no longer be offered at a prorated rate. Exceptions may apply for extenuating circumstances, please email us at [email protected]

Arrivals to Programs

  • Teachers will receive an electronic and paper copy list of their students participating in Enrichment programs. They are asked but NOT required to remind students attend their programs. Students should arrive to the LIBRARY after school to meet their instructor and our On-site Coordinator. We also ask parents to remind their children each morning.

  • Please also feel free to remind teachers and/or Extended Day Care staff that your child will be attending class.

Dismissal from Programs

It is imperative that you indicate the dismissal arrangements for your child on the registration form. Please note that it is not permissible to be late for pick-up. If you are late more than two times, your child will no longer be able to participate in the program. Please be aware that school personnel will not be available at this time to supervise your child.

  • Parent Pick-Up: Parents/caregivers must pick up children promptly at the their child's Enrichment program classroom location. This will be given to parents in the acceptance emails. Parents/caregivers must sign their child out with their program instructor.
  • School Aged Child Care (SACC): Students attending SACC after school will be escorted to the appropriate location following the class.

Changes to dismissal: The On-Site Programs Coordinator will provide each Arlington Science Focus School teacher and each enrichment programs instructor with a list of children participating in the various enrichment programs along with their dismissal instructions. You are responsible for notifying Baroody Camps of any changes to your child’s regular dismissal process from his/her before and/or after school program.

Snacks & Allergies

  • Snacks will be permitted at the start of programs each day ONLY. Snacks will NOT be provided by instructors or Baroody Camps. Parents who would like their child to have a snack before programs are REQUIRED to provide a NUT-FREE snack.
  • If your child has a medical condition and/or allergy, serious or not, please indicate this at the time of registration. Program providers will be given an allergy list of students participating in their class. Snacks will be monitored by the On-Site Coordinator and the Program instructors in their classrooms with serious allergy students monitored closely.
  • Note: We do not have access to the health office during Enrichment programs, however, our On-Site Coordinators are trained to store and administer medication safely.

Standards of Behavior

We want to ensure that all students participating in the after-school enrichment programs enjoy the experience. In order for this to happen, it is expected that all students will conform to regular ASFS classroom and school rules and regulations while attending a program. The providers are all experienced Instructors and will use accepted classroom management techniques to allow misbehaving children to adjust. If a child continues to have difficulties, he or she will be removed from the class and be placed with the On-Site Programs Coordinator who will decide if and when to return the child to class that day. The On-Site Programs Coordinator will also inform the parents about the situation.

If a child is removed from a class a second time, that child will be withdrawn from that class for the remainder of the session. The School will be informed of this decision. No partial refunds will be given in these situations. We look to all parents to support our class providers so that all children can enjoy the after-school classes.
